The senior night planning checklist
A full timeline for athletic directors, booster clubs, and the team parent who got volunteered — from eight weeks out to the last photo.
The short answer
Plan senior night 6–8 weeks out: confirm the date with the athletic director, get verified senior lists from each coach, and assign one owner per task. Order gifts 3–4 weeks out so there's time to reorder, finalize the announcement script a week before, and have seniors and escorts arrive an hour before first whistle. Present gifts during the ceremony, not after the game — half the crowd leaves.
6–8 weeks out
Everything that fails on senior night fails because it was started three days out.
- Confirm the date with the AD and check it against the game schedule
- Get the final senior list from each coach, spelling verified
- Assign an organizer per task — night-of, gifts, photos, program, announcing
- Set the budget and confirm who's paying: boosters, program, or families
- Ask families for a baby photo and a current photo per senior
3–4 weeks out
